Traking Deals:

No two businesses are alike. Each company requires a unique set of procedures for the everyday business that their company performs. This means that you would need to create your own Deal Sheets and Task Lists. (bolded letters for hyper link…?)

As an example, a real estate agent has recently sold a property. They require a deal sheet and task list for the happy couple that just purchased the property. The agent would already have the couple's details in their client database and all the information required for a contract to be drawn up. The information they may record on the deal sheet is as follows:

    - Inventory Code of Property
    - Address of Purchased Property
    - Final Purchase Price
    - Deposit
    - Finance required: (Drop down box)
    - Finance company
    - Approval
    - Solicitors details
    - Building and Pest Inspection done
      (Drop down box of suppliers)
    - Contract Date

The tracking of this information is coordinated by its accompanying task list. The task list is, as the name obviously indicates, a list of tasks defined and designed to make sure every step of your dealings is taken care of by the relevant staff and/or department. It defines the work flow and assigns tasks in a linear fashion … literally keeping the task at hand, on task.

From here, you would need the contract drawn up. As Fonetrak has a built in document filing system, your contract template can already be in the program. You could export the details of the deal to the document entitled ‘Contract Template’. This would then automatically produce the contract you require a signature on. It would also be PDF’d and applied to the customers Fonetrak account. Once you have it signed, you would put the file with your PA and push the deal on through the task list. For example there would be the option to move the deal on to ‘Move to Processing Sale’ – this would then appear on their Fonetrak task list for processing.
